PO Invoice Generator
Large customers pay invoices that match their purchase order and hold the ones that don’t. Build an invoice with the PO number, legal bill-to, ship-to site and remit-to details AP checks for, see a payment-readiness score, and download a PDF.

Method
What accounts payable checks
Multi-site customers process invoices centrally. AP needs the PO number to find the order, the ship-to site to route it to the right manager, and the legal bill-to entity to book it to the right company.
The invoice is then matched to the PO and the goods receipt. Items not on the PO, prices that differ, or quantities above what was ordered send it to an exception queue, and that is where payments stall.
The readiness score checks all of these before you send, including a line-by-line comparison when the PO is loaded.
No purchase order involved? The general invoice generator makes the same clean PDF without the PO fields.
From one site to every site
Invoices that match the PO get paid without anyone having to review them.
Bollard customers match supplier invoices to POs and receipts automatically. Invoices that match are approved straight away, so suppliers spend less time resending invoices and chasing payment.
- Automatic three-way match on arrival
- Fewer rejected and returned invoices
- Clear PO references for every site
- Early-payment terms honoured on time
Questions
Frequently asked
Why do invoices to large customers get rejected?+
Usually for missing or mismatched details: no PO number, the wrong legal entity in the bill-to, no ship-to site so AP can’t route it for approval, prices or quantities that don’t match the PO, or no remit-to details. Each one sends the invoice back to you and delays payment.
What must an invoice to a business customer include?+
Your company details and tax ID, a unique invoice number, invoice date and payment terms (with the due date), the customer’s PO number, legal bill-to name and address, ship-to site, a line for each item with quantity and price, tax and totals, and how to pay you.
How does the “Will this get paid?” score work?+
It checks the fields AP teams rely on, weighting the critical ones (PO number, bill-to entity, dates, lines and remit-to) three times as heavily as the helpful ones. If you load the customer’s PO, it also checks that every item, price and quantity matches.
Can I load the customer’s PO?+
Yes. Upload the PO as a CSV (columns such as po_number, sku, description, qty, unit and unit_price), or use a PO saved in this browser by the Bollard Purchase Order Generator. The lines are copied onto the invoice and checked against the PO.
Is it free and private?+
Yes. There is no sign-up and no watermark, and the PDF is created in your browser. Your draft is saved locally so it is there next time.
