Regional healthcare configuration

Medical supply inventory for clinic networks, with lot and expiry recorded on receipt

Safock configures Bollard as medical supply inventory software for clinic networks, day-surgery centres and dental groups that buy and stock across a region. Lot numbers and expiry dates are captured when goods arrive, and every clinic requests from a list that fits its clinical roles.

What is medical supply inventory software for clinic networks?

Medical supply inventory software tracks what each clinic holds, what it has ordered and what has arrived. For a clinic network, it also routes requests for clinical sign-off, records lot numbers and expiry dates on receipt, moves stock from a central pharmacy to each clinic and checks supplier invoices against orders and deliveries before payment.

How is Bollard configured for clinic networks?

Bollard is configured during discovery to use the roles and documents a clinic network already has. A lead nurse raises a clinical material request, a clinical supervisor approves it and the medical director signs off anything above the supervisor's limit. Stock comes from the central pharmacy or from suppliers on a purchase order.

Each clinic's balance updates as deliveries are accepted and transfers are confirmed, so stock and spend come from the same records.

This is a configuration Safock sets up for healthcare organisations that buy and stock across sites. The platform underneath is the same one used in every sector, so the request, approval, order, receipt and match steps behave the same way.

How do you track lot numbers and expiry dates across clinics?

Record them at the point of receipt, line by line, as the goods come in. In this configuration, the person receiving a delivery enters the lot number and expiry date against each line before the stock is accepted, alongside the received, accepted and rejected quantities.

Those records sit with the receipt and the audit trail. That gives your quality and pharmacy teams captured data to work from when they run their own traceability checks, such as finding which deliveries carried a given lot. Bollard records the data. Your organisation's own processes decide what to do with it.

Can clinic procurement software limit item lists by clinical role?

Yes. Item lists are limited by clinical role and by clinic, so a requester only sees the items they are approved to request at their own site. A dental nurse and a day-surgery lead nurse work from different lists, even when both clinics share a central pharmacy.

Each request carries a budget code and a reason. The approval route appears before the request is submitted, so the lead nurse knows whether it stops with the clinical supervisor or goes on to the medical director.

How are controlled supplies approved?

Controlled supplies need two sign-offs before they can be ordered. The chain is agreed during discovery, and each approver sees the full request on one screen before deciding.

Rejecting a request needs a remark. Every decision, and every later change to the request, is written to an append-only audit trail with before and after values. Entries cannot be edited.

How does stock move from a central pharmacy to each clinic?

Stock moves as a transfer that is dispatched at the central pharmacy and confirmed when the clinic receives it. Both ends are on record, so the pharmacy and the clinic agree on what moved.

Each clinic has live balances with reorder points, and an alert fires when an item reaches its reorder point. A supervisor can ask the assistant what is below reorder level at a given clinic and get an answer from live data, limited to what their role may see.

How are medical supply invoices checked before payment?

Each invoice is compared with the purchase order's prices and the accepted quantities on the receipt, line by line. A price above the agreed one fails on value. A bill for a full delivery when part of it was rejected fails on quantity, because rejected stock is excluded automatically.

Payment can only be raised against a matched invoice, and the rule is enforced in the database. Checking lines automatically means finance staff only spend time on the invoices that fail.

Questions

Common questions.

How do you manage medical supplies across multiple clinic locations?

Give each clinic its own live stock balance and reorder points, supply clinics from a central store or pharmacy through confirmed transfers, and capture lot and expiry details when goods arrive. Route requests through clinical approvers, and check every supplier invoice against the order and the delivery before payment. Head office then sees stock and spend across the network.

Does Bollard help with healthcare traceability requirements?

Bollard captures records that support your organisation's own traceability work: lot numbers and expiry dates on receipt, two sign-offs for controlled supplies and an append-only audit trail of every change. It does not replace your quality or compliance processes. Bring your specific requirements to the discovery call, and Safock will tell you what the configuration covers.

What is a clinical material request?

A clinical material request is the request a clinic raises for supplies such as sutures, sterile PPE kits or IV lines. It lists the items, quantities, required date, budget code and reason. Once a clinical supervisor approves it, and the medical director where the amount requires it, it becomes a purchase order or a transfer from the central pharmacy.

Can each clinic see other clinics' stock and orders?

No. Each clinic sees only its own records, enforced with row-level security in the database rather than hidden in the interface. Clinic managers see their own clinic. Head office and finance see the whole network, so they can compare stock and spend across clinics without giving every site access to everything.

Can dental groups and day-surgery centres use the same setup?

Yes. The structure of clinic, central store and approval chain stays the same, and the terms, item lists and roles change to suit the organisation. A dental group might call its sites practices and its approver a practice manager. Safock maps those terms during the first three days of discovery.

How do we try Bollard before rolling it out to every clinic?

Start with one clinic. Before the demo, Safock sets up a sandbox in your terms. After discovery, the catalog and suppliers are imported and a pilot clinic goes live on real orders in about two weeks. The other clinics are added once that site is working well.
